From first conversation to fully supported team
Premises Baseline Assessment
Your named MMD FM Coach visits your site and conducts a structured assessment of your building, compliance position, maintenance records and your team's existing capability. You receive a written report within ten working days — yours to keep, with no obligation to proceed.
Programme design
We use the assessment findings to design a coaching programme tailored to your building and team. We agree the right retainer tier, set out the PPM schedule and confirm the visit programme, coaching session cadence and support arrangements.
Coaching begins
Regular site visits and monthly coaching sessions start, training is introduced progressively and your team gains access to direct support. The first 90 days focus on building confidence and establishing solid routines for inspection, record keeping and compliance.
Ongoing improvement
Each visit and session builds on the last. We review what went well, tackle any issues and adjust the programme as the team develops. At Enhanced tier, a formal written report each quarter keeps your senior leadership and governors fully informed.
Premises Baseline Assessment
The right starting point for every FM Coach engagement. Your named MMD FM Coach visits your site, reviews your building fabric, compliance records, maintenance systems and your team's current working practices. What makes FM Coach different from a standard FM consultant?
Most FM consultants come in, produce a report and leave — taking all the knowledge with them. FM Coach is designed to do the opposite. Every visit, every coaching session and every conversation is aimed at increasing the capability of your own team, not increasing their reliance on us. When your site manager can handle situations confidently that they previously had to call us about, that is exactly the outcome we are aiming for.
How do site managers typically respond to the programme?
In our experience, site managers and caretakers are the most engaged participants in the programme. They usually have practical ability and genuine care for their building, but they often feel undervalued and under-supported. FM Coach treats them as the experts they are and gives them professional development they can genuinely use. What does PPM mean, and why does it matter?
PPM stands for Planned Preventive Maintenance — a scheduled programme of inspections, servicing and checks carried out on a building's systems and fabric before problems develop. Without a PPM schedule, maintenance tends to be reactive: things break, you call someone, it costs more than it should. A proper PPM programme keeps equipment running longer, reduces emergency callouts, supports compliance with statutory requirements and gives your leadership team confidence that the building is in good hands. We create a PPM schedule specific to your building as part of every FM Coach retainer.
What does a typical site visit involve?
Each visit starts with a conversation with the site manager — reviewing what has happened since the last visit, any issues that have come up and anything they want to raise. We then walk the building together, checking systems against the PPM schedule, identifying any emerging issues and reviewing record keeping. Visits are working sessions, not inspections — the site manager is a partner throughout. Each visit comprises up to a full working day on-site, and a written visit record is issued within five working days.
